Why manual allocation is so hard
Before every session someone has to sort dozens or hundreds of children into squads and then into buildings and rooms. Ages, gender, squad capacity, the number of beds in each room — all of it has to match. Even with careful cross-checking, mistakes slip through and are discovered on arrival day.
Automation makes the process predictable: the rules are set once, and the system does the sorting.
Step 1. Create your squads
In the Squads section, add a squad and fill in:
- name and short description;
- squad leader's name and phone number;
- planned number of children;
- age range.
There is no limit on the number of squads — create as many as your camp needs.
Step 2. Allocate children to squads automatically
Open the Overview section and choose Auto-allocation. For each squad, set the programme and the number of places for boys and girls, then run the allocation. CampBox places every child according to these rules.
Step 3. Describe your accommodation
In the Accommodation section, add your housing: buildings, cabins or individual rooms. For each one, set a name, description, number of beds and age limits. You only do this once — the same accommodation is reused in every session.
Step 4. Assign rooms in one go
Back in Overview, start the automatic room allocation and pick which accommodation to use — a single cabin or the whole site. Then decide which squad lives in which building and how boys and girls are split between rooms. The system does the rest.
What it gives your camp
- Less workload — no more evenings spent over spreadsheets before arrival.
- Fewer mistakes — rules are applied the same way to every child.
- Faster preparation — the session is allocated in minutes, not days.
